What your job will be like:
Working under direct supervision of the Site Security and Services Manager, the Facilities Guest Service Desk Administrator will perform a variety of activities in support of functional areas of the Safeguards and Security Program; specifically, the Physical Protection, Unclassified Foreign National Access (UFNA), and Personnel Security sub-programs. You will be responsible for gathering, collecting, recording, tracking and verifying data and information from multiple sources.

This position is responsible for performing a full range of administrative functions in support of business needs in the Jefferson Lab Badging Office. This position will work in the DOE US Access System and will serve as registrar/activator for Jefferson Lab staff and users for DOE security badges (HSPD-12 compliant) and/or Local Site Specific Only (LSSO) physical access control badges as applicable. Position also provides general administrative support for the Facilities Management & Logistics Director and division.

In this role, you will:

  • Process FM&L subcontractor access registrations, creates and modifies personnel records in the Jefferson Lab Information System Toolkit (JLIST), and troubleshoots issues with the process.
  • Process and issues LSSO physical access control badges to staff, users, and subcontractor personnel.
  • Serve as registrar/activator for Jefferson Lab staff and users for enrollment and issuance of HSPD-12 compliant DOE security badges.
  • Use software for functional areas, to compile and generate reports, statistics, time lines, tables, graphs, correspondence and presentations.
  • Assist the Site Access Registration Administrator with badging related ServiceNow incident tracking system.
  • Serve as the FM&L Travel Coordinator; issuing travel orders, making travel arrangements, and assist with travel claims.
  • Handle files incoming and outgoing correspondence electronically. Maintains a tickler file of responses to incoming correspondence and required contract deliverable reports.
  • Issue and collects building keys, and maintains the key inventory database.
  • Prepare purchase requisitions for materials, services, and construction projects.
  • Create and edits FM&L division web pages based on input from content owners.

Qualifications We Require:

Education:

- High School diploma

Experience:

- 2 years relevant experience, or

- Equivalent combination of education and experience.

Knowledge, Skills, Abilities:

  • Strong office organizational skills
  • Excellent communication and interpersonal skills
  • Databases and reporting skills
  • Webpage creation and editing capabilities
  • Strong formatting and grammatical skills
  • Working knowledge of computer software programs and base building systems
  • Computer proficiency with Microsoft Office Suite (MS Word, Excel and PowerPoint)

Qualifications We Desire:

Education, Certifications and Experience:

  • Associates Degree
  • Industry Certification(s)

Knowledge, Skills, Abilities:

  • Prior experience using ServiceNow or equivalent ticketing management system
  • Prior experience in a security services access management environment
  • Prior experience using the USAccess system to support badging operations
  • Experience with data entry, expansive reporting, filing, answering phones, scheduling and communications
  • Previous customer service experience
  • Prior experience working in the facilities/property management, commercial real estate or professional services industries preferred
