Are you looking for an opportunity to join a forward-thinking team? Consider joining JSA as Programmatic Support Administrator. You will be part of a team responsible for a broad range of support for Physics Division management – including but not limited to organizing workshops and review meetings, working with the scientific program advisory committee, and compiling periodic reports for the Division Managers, Department Heads and Group Leaders to inform internal and external stakeholders about Division initiatives. Extensive expertise in information gathering, writing, and editing of materials is required for all duties. Supports Laboratory policies and Division programmatic initiatives.

In this role you will...

  • Coordinate the compilation and timely submission of technical and other reports for the Division
  • Plan and coordinate Directorate meetings, workshops and reviews and ensure all logistics, administrative functions, and catering are arranged and ready in accordance with policies and procedures
  • Develop and maintain a system for tracking all review recommendations through to completion.
  • Assist with the organization and completion of formal agreements between the laboratory and universities, both foreign and domestic
  • Manage complex archive of statistical information/data (conference travel, publications, awards, public services, etc.).
  • Coordinate and organize annual Program Advisory Committee (PAC) scientific meeting and associated documentation and tracking
  • Liaison with departments across the lab to include Director’s Office, Procurement, Event Services, etc.

Qualifications We Require:


  • BS/BA in Management or Administrative (or related field) or


  • 5 years of progressively experience in an administrative capacity or,
  • Equivalent combination of education, experience, and training

    Knowledge, Skills and Abilities:

    • Experience with working in a diverse and multicultural atmosphere
    • Demonstrated ability to work independently in performing complex, multi-tasked assignments
    • Excellent written and oral communications skills, to include strong grammatical, formatting and proof reading skills
    • Ability to produce quality, easily understood documents for diverse audience
    • Superior interpersonal skills, both oral and written communication skills
    • Demonstrated ability to handle sensitive and confidential information
    • Ability to balance and prioritize work to deliver results and meet deadlines
    • Highly proficient in Microsoft 365, to include Share Point, Teams, Excel, Outlook, PowerPoint, Word, and Adobe Acrobat Pro

    Qualifications We Desire:

    • Familiarity with organizing and completing travel
    • Knowledge of document control and records management
